Role Profile: Induction Coordinator


Document Purpose

This document defines the responsibilities, scope, and expectations of the Induction Coordinator role at MerciGlobal. This role ensures a smooth and professional candidate onboarding pipeline by managing screening, interview coordination, and pre-joining documentation processes.


Role Summary

The Induction Coordinator is responsible for managing the early stages of the talent intake process, including candidate screening, preliminary interviews, coordination of technical/functional interviews, and completion of joining formalities. The role ensures that only suitable candidates progress while maintaining a structured, timely, and professional experience for all applicants.


Key Responsibilities

1. Candidate Screening (Online / Offline)

Objective: Ensure that only relevant and suitable candidates proceed to the interview stage.

Responsibilities:

  • Conduct initial screening of prospective candidates for job or internship opportunities through:

    • Resume evaluation
    • Portfolio or project review (if applicable)
    • Preliminary online or offline interaction
  • Assess candidate suitability based on:

    • Role requirements
    • Technical foundation or learning aptitude
    • Communication clarity
    • Alignment with organizational values and expectations
  • Filter out candidates who do not meet the minimum criteria before proceeding to interviews


2. Preliminary Interview Management

Objective: Perform the first formal evaluation of shortlisted candidates.

Responsibilities:

  • Conduct the initial interview of prospective candidates

  • Interviews should be scheduled preferably between 10:00 AM and 11:00 AM

  • Evaluate candidates on:

    • Fundamental technical or domain knowledge
    • Problem-solving approach
    • Communication and professionalism
    • Learning mindset and attitude
  • Maintain brief evaluation notes for internal reference


3. Interview Coordination with Project Leadership

Objective: Ensure qualified candidates move forward to final evaluation efficiently.

Responsibilities:

  • If a candidate is deemed suitable, schedule the next round of interview with:

    • Projects Head or
    • Projects Co-Ordinator
  • Share relevant candidate details in advance, including:

    • Resume
    • Screening observations
    • Interview evaluation summary
  • Coordinate schedules to ensure a smooth and timely transition between interview stages


4. Documentation & Pre-Onboarding Formalities

Objective: Ensure all required joining documentation is complete and properly submitted.

Responsibilities:

  • Once a candidate is shortlisted for job or internship, manage the completion of all required formalities

  • Facilitate and ensure collection of:

    • Signed agreement or offer-related documents
    • Candidate photograph
    • Any additional documents required as per the agreement or company policy
  • Verify completeness and accuracy of all documents

  • Prepare a complete document set for the candidate and submit it to HR for official onboarding processing


Planning and Oversight

  • Maintain a candidate tracking record covering:

    • Screening status
    • Interview stages
    • Final selection outcomes
    • Documentation completion status
  • Ensure timely follow-up with candidates and internal stakeholders to prevent delays

  • Maintain professionalism and confidentiality throughout the hiring and induction process

  • Consistent and professional interview experience
  • Smooth coordination between candidates and project leadership
  • Error-free and timely completion of pre-onboarding documentation
  • Reduced onboarding delays due to incomplete paperwork

Reporting Line

The Induction Coordinator typically works in coordination with the Projects Head, Projects Co-Ordinator, and HR Team.
