Policy Purpose
This policy establishes guidelines for sharing training materials, improvement suggestions, and informational content within the organization. It ensures that internal communication remains structured, relevant, and aligned with company priorities while preventing disruption to ongoing project work.

Employees shall not send unsolicited training materials, improvement suggestions, or informational content to team members or groups without prior consent from either the Projects Co-Ordinator or the Leadership Team.
All internal knowledge-sharing initiatives must follow an approved and coordinated approach to ensure relevance, timing, and organizational alignment.
Scope
This policy applies to all employees, interns, contractors, and team members involved in company communication channels, including but not limited to:
- Email communications
- Internal messaging platforms
- Group chats or forums
- Shared documents or drives
- Informal or formal team meetings
Restricted Activities (Without Approval)
The following activities are not permitted unless prior approval is obtained from the Projects Co-Ordinator or the Leadership Team:
- Circulating training materials, tutorials, or learning resources to multiple team members
- Sharing process improvement suggestions broadly with teams
- Distributing productivity techniques, tools, or workflow recommendations organization-wide
- Initiating group learning discussions, surveys, or awareness messages unrelated to assigned project work
This does not restrict necessary project-related communication required to complete assigned tasks.
Approval Process
Employees who wish to share learning resources, suggestions, or improvement ideas with a wider audience must:
- Submit the content or proposal to the Projects Co-Ordinator or Leadership Team
- Clearly state the objective, target audience, and expected benefit
- Wait for approval before distributing the content through any internal channel
Approved topics may then be scheduled through structured forums such as:
- Official training sessions
- Education slots in team meetings
- Experience-sharing sessions
- Organization-approved communication channels

Non-Compliance
Failure to follow this policy may result in guidance, corrective discussion, or other appropriate administrative action, depending on the frequency and impact of the violation.
